Use commas before and after a name used in direct address. Thank you, John, for responding to my e-mail so quickly.

Ladies and gentlemen, the program has been canceled. Use a comma between independent clauses joined by a coordinate conjunction (unless both clauses are short).

The most common coordinate conjunctions are and, but, or, and nor.

i comma might misi { takenly be inserted.

Use a comma after an introductory expression (unless it is a short prepositional phrase). Before we can make a decision, we must have all the facts.

But: In 2004 our nation elected a new president. Note: An introductory expression is a group of words that come before the subject and verb of the independent clause. Common prepositions are to, in, on, of, at, by, for, and with.

Use a comma before and after a direct quotation. James said, “I shall return,” and then left.

Use a comma before and after the year in a complete date.

We will arrive on June 2, 2006, for the conference.

But: We will arrive on June 2 for the conference. Use a comma before and after a state or country that follows a city

(but not before a ZIP Code). Joan moved to Vancouver, British Columbia, in May.

Send the package to Douglasville, GA 30135, by Express Mail. But: Send the package to Georgia by Express Mail.

Reference Manual Use a comma between each item in a series of three or more.

We need to order paper, toner, and font cartridges for the printer. They saved their work, exited their program, and turned off their computers when they finished. Note: Do not use a comma after the last item in a series.

Use a comma before and after a transitional expression or independent comment. It is critical, therefore, that we finish the project on time.

Our present projections, you must admit, are inadequate. But: You must admit our present projections are inadequate.

Note: Examples of transitional expressions and independent comments are in addition to, therefore, however, on the other hand, as a matter offact, and unfortunately.

Use a comma before and after a nonessential expression. Andre, who was there, can verify the statement.

But: Anyone who was there can verify the statement. Van’s first book, Crisis ofManagement, was not discussed. Van’s book Crisis ofManagement.was not discussed.

Note: A nonessential expression is a group of words that may be omitted without changing the basic meaning of the sentence. Always examine the noun or pronoun that comes before the expression to determine whether the noun needs the expression to complete its meaning. If it does, the expression is essential and does not take a comma. Use a comma

between two adjacent adjectives that modify the same noun.

We need an intelligent, enthusiastic individual for this job. But: Please order a new bulletin board for our main_conference room. Note: Do not use a comma after the second adjective. Also, do not use a comma if

the first adjective modifies the combined idea of the second adjective and the noun (for example, bulletin board and conference room in the second example above).

_Semicolons SES

Use a semicolon to separate two closely related independent clauses that are not joined by a conjunction (such as and, but, or, or nor). Management favored the vote; stockholders did not.

But: Management favored the vote, but stockholders did not. Use a semicolon to separate three or more items in a series if any of the items already contain commas.

Staff meetings were held on Thursday, May 7; Monday, June 7; and Friday, June 12. Note: Be sure to insert the semicolon between (not within) the items in a series.

Twenty-nine recommendations were approved by at least three-fourths of the members. Hyphenate compound adjectives that come before a noun (unless the first word is an adverb ending in -ly).

We reviewed an up-to-date report on Wednesday. But: The report was up _to date. But: We reviewed the highly rated report. Note: A compound adjective is two or more words that function as a unit to describe a noun.

_Apostrophes Use ’s to form the possessive of singular nouns. The hurricane’s force caused major damage to North Carolina’s coastline. Use only an apostrophe to form the possessive of plural nouns that end in s.

The investors’ goals were outlined in the stockholders’ report. But: The investors outlined their goals in the report to the stockholders. But: The women’s and children’s clothing was on sale. Use ’s to form the possessive of indefinite pronouns (such as someone’s or anybody’s); do not use an apostrophe with personal pronouns (such as hers, his, its, ours, theirs, and yours).

GRAMMAR

_Sentences Avoid sentence fragments.

Not: She had always wanted to be a financial manager. But had not had the needed education. But: She had always wanted to be a financial manager but had not had the needed education. Note: A fragment is a part of a sentence that is incorrectly punctuated as a complete sentence. In the first example above, “but had not had the needed education” is not a complete sentence because it does not contain a subject. Avoid run-on sentences. Not: Mohamed is a competent worker he has even passed the MOS exam. Not: Mohamed is a competent worker, he has even passed the MOS exam. But: Mohamed is a competent worker; he has even passed the MOS exam. Or: Mohamed is a competent worker. He has even passed the MOS exam. Note: A run-on sentence is two independent clauses that run together without any punctuation between them or with only a comma between them.

“Agreement_ Use singular verbs and pronouns with singular subjects; use plural verbs and pronouns with plural subjects.

I was happy with my performance. Janet and Phoenix were happy with their performance. Among the items discussed were our raises and benefits. Some pronouns (anybody, each, either, everybody, everyone, much, neither, no one, nobody, and one) are always singular and take a singular verb. Other pronouns (all, any, more, most, none, and some) may be singular or plural, depending on the noun to which they refer.

Each of the employees has finished his or her task. Much remains to be done. Most of the pie was eaten, but most of the cookies were left. Disregard any intervening words that come between the subject and verb when establishing agreement. That box, containing the books and pencils, has not been found.

Alex, accompanied by Tricia and Roxy, is attending the conference and taking his computer.

If two subjects are joined by or, either/or, neither/nor, or not only/but also, make the verb agree with the subject nearer to the verb. Neither the coach nor the players are at home. Not only the coach but also the referee is at home. But: Both the coach and the referee are at home.

_Pronouns Use nominative pronouns (such as J, he, she, we, they, and who) as subjects of

a sentence or clause.

The programmer and he are reviewing the code. Barb is a person who can do the job. Use objective pronouns (such as me, him, her, us, them, and whom) as objects of a verb, preposition, or infinitive.

The code was reviewed by the programmer and him. Barb is the type of person whom we can trust.

Adjectives and Adver bs

Use comparative adjectives and adverbs (-er, more, and less) when referring to two nouns or pronouns; use superlative adjectives and adverbs (-est, most, and /east) when referring to more than two.

The shorter of the two training sessions is the more helpful one. The longest of the three training sessions is the least helpful one.

Word Usage Accept means “to agree to”; except means “to leave out.”

All employees except the maintenance staff should accept the agreement. Affect is most often used as a verb meaning “to influence”; effect is most often used as a noun meaning “result.” The ruling will affect our domestic operations but will have no effect on our Asian operations.

VIDEO-BASED TRAINING PROGRAMS Rodolfo Madison, Training Consultant

Report

4] Video-based training programs are being implemented at an ever-increasing

63-34 Business Report

rate across the country. While this type of training should certainly not be the only method that is used to train your employees, it is very effective and can offer significant advantages over other training methods.

ADVANTAGES 4] There are many advantages to video-based training. However, only the most significant ones are discussed here. Save Development Time. You can shorten your training cycle because you will have the ability to deliver “just-in-time” training where and when you need it. Facilitation materials with activities and discussion points can be used in whole or in part to create training events that run anywhere from one to four hours. Add Variety to the Delivery Mix. Workshops and lectures can become routine and boring. Video provides a change of pace and can add an entertainment factor that is not possible in a live presentation. Videos can also be used to supplement a faceto-face workshop to stimulate discussion, demonstrate concepts that could not

otherwise be presented, and provide meaningful examples of the topic at hand. The more the senses are engaged in the content, the more the participants will learn. Build a Resource Library. Building a video and/or DVD library allows you to offer a broader range of training. You will no longer be limited to custom in-house development or scheduled classroom events. Trainees can check out a DVD or access video training online.

(continued on next page)

Unit 13 e Lesson 63

RECOMMENDATION

4] Video-based training materials save your organization time and money, and they make your business look progressive. Because they help build learning retention, they can also improve the return on your training investment. The next step should be a formal review of your training needs and an evaluation report to be completed by a professional video-based training firm with a proven track record.

Keyboarding Connection Finding Business Information on the Internet Finding information about businesses on the Internet is easy. If you want to research a company, you can go to its Web site, or you can use a search engine to find out what resources and information are available. Sites like Bloomberg.com and Yahoo! have articles about business trends and companies. Professional organizations like the American Management Association and the Chamber of Commerce also have Web sites where you can learn about their member businesses. However, many of our residents have expressed interest in an indoor track for walking; others would like to add a track for running. We hope to accommodate as many of the suggestions as we feel are feasible. 4] The population of the residents in the Fountain Ridge complex consists of a mixture of young and middle-age adult couples as well as single residents. Some of the couples have children who would be old enough to enjoy the facilities. Therefore, safety and durability of the equipment are very important considerations. In addition, we would like to continue to develop our complex in a way that would invite family participation in our recreational activities.

Keyboarding Connection Creating an E-Mail Signature File Creating a signature file saves you time and adds a personal touch to your e-mail messages. A signature file is a tag of information that is automatically included at the end of your e-mail messages. It may include your signature, a small graphic, your address, your phone number, or a quotation. Use the following guidelines to create a signature file. Open your e-mail software. Open the menu item that allows you to create a signature file. Type the information you want to include in your signature, and then save and close the file. Some companies don’t allow graphics or quotations in e-mail signature files. E-mailing graphics uses extra bandwidth, which can slow down the network. For this reason, some e-mail software doesn’t display graphics at all, instead displaying e-mail in plain text. Quotations may not align with the corporate culture or mission. Check to find out whether your company has corporate guidelines on e-mail signatures before you create your own signature file. When sending e-mail to potential employers, it's useful to add a professional signature to your e-mail that contains your contact information.

Your Turn: Create a signature file, then address an e-mail to yourself. Type “Test” in the Subject box. In the body, type “This is a test of the a file’ Send the e-mail: then open it to see how your signature file looks.

Strategies for Career Success ( an

Enhancing Your Presentation With Visual Aids Visual aids capture people's attention while increasing their retention. Use visual aids to present an outline of your presentation, explain detailed technical or numerical information, and summarize your key points. Be selective. Don’t bombard your audience with visuals. Your visual aids should support and clarify your verbal presentation. Consider the size of your audience and the size of the room before selecting your visuals. Audiences have little patience for visuals that are too small to read or too busy. Types of visual aids are slides, photographs, flip charts, maps, flowcharts, handouts, and computer graphics including tables, graphs, and charts. You can have printed visual aids if the room is small, or you can use a multimedia projector that attaches to a laptop computer to project your presentation. This is also useful for Web conferencing, so that people in different locations also can see your visual aids. Limit the amount of information on a visual. Use simple graphics. Continue displaying the current visual until you are ready to discuss the next one. Always keep the projector on during your presentation.

Id your visual aids differ if your audience had 10 people ~

Paced Practice The Paced Practice skillbuilding routine builds speed and accuracy in short, easy steps by using individualized goals and immediate feedback. You may use this program at any time after completing Lesson 9. This section contains a series of 2-minute timed writings for speeds ranging from 16 wpm to 96 wpm. The first time you use these timed writings, take the 1-minute Entry Timed Writing with 2 or fewer uncorrected errors to establish your base speed. Select a passage that is 2 wpm higher than your Entry Timed Writing speed. Then use this two-stage practice pattern to achieve each speed goal: (1) concentrate on speed and (2) work on accuracy. Speed Goal. To determine your speed goal, take three 2-minute timed writings in total. Your goal each time is to complete the passage in 2 minutes without regard to errors. When you have achieved your speed goal, work on accuracy. Accuracy Goal. To type accurately, you need to slow down—just a bit. Therefore, to reach your accuracy goal, drop back 2 wpm from the previous passage. Take consecutive timed writings on this passage until you can complete the passage in 2 minutes with no more than 2 errors. For example, if you achieved a speed goal of 54 wpm, you should then work on an accuracy goal of 52 wpm. When you have achieved 52 wpm for accuracy, move up 4 wpm (for example, to the 56-wpm passage) and work for speed again.

Entry Timed Writing

If you can dream it, you can live it. Just follow your heart. There are many careers, which range from the mundane to the exotic to the sublime. Start your career planning now by quizzing yourself about your talents, skills, and personal interests.
